Billing & Insurance FAQ
Physical and Occupational Therapy:
– Evaluations are billed per hour.
– Regular sessions are billed per CPT code (15-minute codes). Typical sessions are 30 minutes long using 2 CPT codes per session.
– Session length and frequency will be determined by you and your therapist in order to meet your specific goals.
Adaptive Riding Services (Recreational Horseback Riding and Horsemanship):
– Sessions are billed per 30 minutes
– NCEFT charges different rates for individual and group sessions.
– Groups are formed at the discretion of the Adaptive Riding Instructor.
Mental Health & Resiliency Services (Ancillary Mental Health & Resiliency Services):
– One-on-One sessions are billed by the hour.
– Workshops are billed up-front for the entire series of sessions.
What forms of payment are accepted?
Cash (exact change), check, or credit card.
Can I use insurance?
NCEFT is a private pay facility. We do not accept payments from insurance carriers, including Medicare or Medical. Clients who wish to use their insurance may submit copies of their paid invoice to their carrier for reimbursement. At this time, only Physical or Occupational Therapy services qualify for reimbursement with insurance carriers, depending on your specific plan coverage. A questionnaire is provided in the intake packet which you can use to verify what your insurance may cover.
What about FSA/HSA cards?
Unfortunately, we are unable to process payments from FSA/HSA cards.
How will I get billed?
A monthly “superbill” will be provided with the previous month’s sessions in the first week of the following month. For example, a superbill with January’s sessions will be emailed to you the first week of February.
When is payment due?
We ask that all clients pay their invoice in-full by the 10th of each month for the previous month’s sessions. Prompt payment is greatly appreciated! NCEFT also offers automatic credit card payments for services – there is no additional fee to utilize this option.
Can I use a 3rd party to pay my bill?
At this time, NCEFT does not accept payments from third parties. This includes payments through regional centers.
Is financial assistance available?
Yes! The financial aid application and instructions are included with each intake packet – regardless of program. Financial assistance is awarded in amounts of 25%, 50%, 75% or 100% of session fees.
U.S. Veterans and First Responders only need to provide proof of service to qualify for 100% financial assistance.
How is financial assistance determined?
Financial assistance is determined utilizing the HUD housing and income limits for the area you reside. A copy of the first 2 pages of your federal income tax return (form 1040) is used to verify income level, place of residence, and number of family members. If you are applying for financial assistance for a dependent, the dependent must be listed on the tax return that you provide. Financial aid awards are reviewed annually.
