Fees, Billing/Insurance, Cancellation Policy, and Financial Assistance as of February 18, 2025
Note that the following billing information does not apply to U.S. Veterans and First Responders who we treat free of charge.
Program Fees:
Physical and Occupational Therapy:
- Initial Evaluation: $364
- Re-Evaluation: $273
- Therapy session: $91 per 15-min CPT code (typical session of 30 minutes- equivalent to 2 CPT codes- is $182)
Adaptive Riding:
- Initial Evaluation: $98
- 30-min Individual lesson: $98
- 30-minute Group lesson: $84
- 45-minute 10-week Group lesson package: $1,260
Mental Health and Resilience:
- Initial Evaluation: $300
- 60-min Individual Walk and Talk: $230 (all Walk and Talks are 60 minutes, at $115 per half hour)
- Family session: $275
- 30-minute Individual decompression session: $150
Billing and Insurance:
NCEFT is a private-pay facility. NCEFT accepts cash (exact change), check, or credit card for payments. We do not accept payments from insurance carriers, including Medicare or Medical, or payments through regional centers / third parties. NCEFT is also unable to process payments from FSA/HSA cards.
Clients who wish to use their insurance may submit copies of their paid invoice to their carrier for reimbursement. A questionnaire is provided in the intake packet which you can use to verify what your insurance may cover. A monthly “superbill” will be provided with the previous month’s sessions in the first week of the following month. For example, a superbill with January’s sessions will be emailed to you the first week of February.
We ask that clients pay their invoice in-full by the 10th of each month for the previous month’s sessions. Prompt payment is greatly appreciated! NCEFT also offers automatic credit card payments for services – there is no additional fee to utilize this option.
Physical and Occupational Therapy:
– Evaluations are billed per hour.
– Regular sessions are billed per CPT code (15-minute codes). Typical sessions are 30 minutes long using 2 CPT codes per session.
– Session length and frequency will be determined by you and your therapist in order to meet your specific goals.
Adaptive Riding (Recreational Horseback Riding and Horsemanship):
– Sessions are billed per 30 minutes
– NCEFT charges different rates for individual and group sessions.
– Groups are formed at the discretion of the Adaptive Riding Instructor.
Mental Health and Resilience (Ancillary Mental Health and Resilience Services):
– One-on-One sessions are billed by the hour.
– Workshops are billed up-front for the entire series of sessions.
Cancellation Policy:
- Cancellations made within 24 hours of an appointment will be subject to a charge of 50% of the service rate.
- No-shows or cancellations within 2 hours of scheduled appointment times will be subject to a charge of 100% of the service rate.
- Cancellations made up to 24 hours before a scheduled appointment via email or phone will be processed without a penalty.
Financial Assistance:
NCEFT provides financial assistance in amounts of 25%, 50%, 75% or 100% of session fees. Financial assistance is determined utilizing the HUD housing and income limits for the area you reside. To verify total income level, place of residence, and number of family members, we will request yearly income for all members of your household, the most recent tax return (for all members of your household), and any other Government Assistance, Spousal/child Support Income, SSI Income, or Unemployment Income, with all supporting documentation or letters of benefits verification. If you are applying for financial assistance for a dependent, the dependent must be listed on the tax return that you provide. Financial Assistance forms are included in client intake packets and awards are reviewed annually.
U.S. Veterans and First Responders only need to provide proof of service to qualify for 100% financial assistance.
How to Apply for Financial Assistance:
- Fill out a financial assistance application during the onboarding process, after applying online and connecting with your therapist or instructor to begin sessions.
